On Monday, 25th August, 2025 the office of the Head of Local Government Service (OHCS), the Upper East Regional Coordinating Council (UERCC) in collaboration with the E- Solution Consultant, organized a one-day training workshop for all heads of department and Units as well as staff of the Bolgatanga East District Assembly at the Assembly Conference Hall to minimized the benefits of the Smart Workplace.
The purpose of the training was to equip the staff with the necessary skills and knowledge to effectively utilize the Smart Workplace platform to facilitate seamless communication and collaboration across the public sector.
In attendance the Municipal MIS Officer, All Heads of Department/ Units and all staff of the Bolgatanga East District Assembly.
The training session covered:
- Introduction to the smart workplace concept and its benefits .
- Practical sessions on using the new digital tools and platforms :
- Presentation – Presentation on e-Memo, Correspondence Management (Incoming & Outgoing).
- Presentation on e-Leave Management System, Shared files, Helpdesk, Vehicle Request, Microsoft Teams
- Strategies for effective collaboration and communication within the smart workplace.
- Q&A session to address any questions or concerns
In his welcome address, the representative of the Office of the Head Local Government Service (OHCS), Mr. Cornelius Amuzu gave a brief Introduction and Objective of the Smart Workplace training. He mentioned that the Office of the Head of Local Government Service (OHLGS) in collaboration with National Information Technology Agency (NITA) and eSolutions Consulting is operationalizing the Smart Workplace Platform towards the digitalization of the operations of the OHLGS, Regional Coordinating Councils (RCCs) and Metropolitan, Municipal and District Assemblies (MMDAs).
The E-Soulutions Consultant, Mr Telvin Varfley took staff through the practical session and overview of the SWP system. He explained that the Smart Workplace Platform (SWP) is an intranet, communication, collaboration and business process automation solution. Built on Microsoft Office 365, the Smart Workplace provides staff with a single access point to all resources needed for daily tasks such as memo, correspondence, email, calendar, audio and video conferencing.
He added that Smart Workplace Training is to enhance your skills and knowledge in utilizing our new digital tools and systems. This training is crucial for optimizing our operations and maximizing the benefits of our smart workplace environment. Thereby highlighting the benefits of the system, which included the ability to work smoothly, enhanced processing and improved information search capabilities and reduce costs of operation.
He also said the SWP equips staff with secure, role-based access to the necessary IT solutions and tools for remote work, anytime, anywhere, on any web-enabled device. Whether you’re in the field, working from home, or in the office, you can count on the SWP to enable you to work efficiently and effectively. The system enhances audit trails, reporting mechanisms and streamline task assignment and tracking systems.
In conclusion, the Regional Management Information System (MIS) officer gave an overwhelming appreciation to the training facilitators for the effort shown in making the training possible. He thanked the staff of the Assembly for their tireless efforts in making the program successful..
He also stated that he believes the training has equipped staff with the skills and knowledge on how to: Effectively navigate and utilize the smart workplace system, will improve our daily work processes and efficiency and enhance our overall productivity.
